Step 1: Receiving your needs and market analysis
- Listening: The customer provides product information (name, technical specifications, images, estimated budget, and so on).
- Preliminary assessment: Our experts advise on import policy (is the item prohibited, does it require a sub-license or specialized inspection?).
Step 2: Supplier search and verification (Sourcing)
- Screening: Embassy contacts a list of reputable factories and suppliers within its global network.
- Vetting the company's "health": Checking business licenses, production capacity, and international certifications (ISO, CE, FDA, etc.) to eliminate the risk of fraud.
- Quotation: Sending the customer a list of the 3–5 best suppliers, along with a price and quality comparison table.
Step 3: Negotiation and sample confirmation (Sampling)
- Negotiation: A team fluent in the local language and culture negotiates the best price and payment terms in the customer's favor.
- Sample checking: We support importing samples to Vietnam so the customer can assess quality first-hand before placing a large order.

Step 4: Contract signing and international payment
- Drafting the contract: Ensuring the Incoterms, warranty, and claims clauses are clearly stated.
- Payment support: Advising on safe payment methods (L/C, T/T, D/P) to ensure funds are only released when the supplier fulfills its commitments.
Step 5: Production control and quality inspection (QC)
- Monitoring: Tracking production progress at the factory.
- Inspection: Embassy staff (or an independent inspection agency) visit the factory to check the quantity, packing specifications, and product quality before the container is sealed.
Step 6: Logistics, clearance, and door-to-door delivery
- International transport: Choosing the shipping method (sea/air) that optimizes cost and time.
- Customs procedures: Completing the document set, applying accurate HS Codes, filing electronic customs declarations, and paying duties.
- Final delivery: Delivering the goods to the customer's warehouse in Vietnam and handing over the full set of official-channel import documents.
